Administrative Assistant


Supervisor: Administrator

Hours: Monday – Friday, 7:30 A.M. – 3:30 P.M.


Computer literate – proficient in MS Word, Excel, Access; good communications skills; good organizational skills; ability to pass a Background Criminal Check; willing to get a TB test and physical exam on hire



  • Greet all clients and visitors in a friendly manner
  • Answer phone in a timely and courteous manner
  • Maintain confidentiality at all times
  • Prepare daily attendance sheets daily for clients
  • Prepare transportation list for drivers
  • Keep front reception area and desk neat and clean


  • Post to Facebook and update NH website
  • Weekly Inspect charting for accuracy, follow up on inquiry’s,
  • Shop for supply’s
  • Gas vans



  • Keep all filing up to date
  • Typing menus and activities calendar
  • Prepare new monthly medication sheets
  • Maintain petty cash slips and prepare monthly petty cash reports
  • Assist with billing
  • Maintain supply’s




  • Updates of staff files
  • Assist with state survey
  • Set up new month attendance/billing sheets
  • Send out exit surveys to terminating client’s families
  • Update staff list (names, addresses, birthdays, phone numbers) as needed
  • Organize and replenish all forms as needed (i.e. client applications, billing sheets      for consultants, etc.)
  • Perform secretarial duties for the Administrator, Program Coordinator as needed
  • Other duties as assigned by Administrator or Executive Director

You will also be asked to perform other duties as assigned by the Administrator and Executive Director. This could include, but is not limited to:

  • Typing letters, documents and creating flyers.
  • Fill in for staff shortages as needed (i.e. program aides, kitchen aide, drivers)
  • Other duties as assigned
  • Keeping new hire paperwork up to date
  • Set up new client files and add new clients to all necessary lists (i.e. add to billing sheet, add to emergency contact sheet for administrator, etc.)
  • Record attendance
  • Shred documents
  • Perform necessary secretarial functions for Administrator and Program Coordinator
